Troubleshooting Smokeball integration issues

Quick answer: Mary integrates with Smokeball Matters only -- not Leads. If your case is still a Lead in Smokeball, convert it to a Matter first. If the integration is temporarily down, download files from Smokeball to your desktop and upload them directly to Mary.

Matter not appearing in Mary

If you cannot find your Smokeball matter when searching in Mary, work through these checks:

  1. Confirm it is a Matter, not a Lead. Mary only integrates with Smokeball Matters. If your case is still in the "Leads" section of Smokeball, it will not appear in Mary. Convert it to a Matter in Smokeball first, or export the files manually and upload them directly.

  2. Wait a few minutes if the matter is new. Matters created very recently (within the last few minutes) may not appear immediately in Mary. Allow a short delay and search again.

  3. Watch for archived matters in results. Archived Smokeball matters may still appear in Mary's search results. This can be confusing if you see an older version of the matter alongside the current one. Verify that you are selecting the correct active matter.

Manual workaround when the integration is unavailable

If the Smokeball integration is temporarily down or not returning your matter, you can bypass it entirely:

  1. Open the matter in Smokeball.

  2. Select and download the relevant files to your desktop.

  3. Open Mary and create a new matter (or open an existing one).

  4. Upload the files directly from your desktop to Mary.

This works for any practice area. For example, a family law practitioner preparing a chronology of financial disclosure documents can download them from the Smokeball matter and upload directly to Mary without waiting for the integration to come back online.

Exporting a chronology back to Smokeball

If you are trying to export a completed chronology to Smokeball and the matter does not appear in the export dialog:

  1. Confirm the matter exists in Smokeball as an active Matter (not a Lead or archived matter).

  2. Refresh the export dialog and search again.

  3. If the matter still does not appear, use the Export to Word option as an immediate alternative. You can then save the Word document into the Smokeball matter manually.

Known limitations

Known limitations:

-- Mary connects to Smokeball Matters only. Leads, contacts, and other Smokeball entities are not supported.

-- Archived matters in Smokeball may still appear in search results within Mary, which can cause confusion when selecting the correct matter.

-- Newly created matters may take a few minutes to become visible through the integration.
