Can I Combine Documents from Multiple Matters into One?

Quick answer: There is no merge function for matters. However, you can use "Add More Documents" to upload additional files into an existing matter, or use Views to create focused sub-chronologies within a single matter. Both approaches have trade-offs — read on to choose the best option for your situation.

Looking for specific facts across matters? If you need to find a particular detail across your documents, use Fact Explorer within each matter. Fact Explorer searches all uploaded documents in a matter and can answer targeted questions — useful for cross-referencing information without merging.


Why Merging Is Not Currently Available

Merging two matters into one would require combining their chronologies, which means reconciling edits, relevance scores, and source references across both. This is technically complex and risks losing manual edits you have already made. For this reason, there is no merge function at this time.

Workaround 1: Add More Documents to an Existing Matter

If you have documents split across multiple matters and want them in one place, you can upload the additional documents into your primary matter.

Good news: Adding new documents does not affect any manual edits you have made to existing chronology entries. Your corrected dates, edited descriptions, and other changes will be preserved.

  1. Open the matter you want to keep as your primary matter

  2. Click "Add More Documents"

  3. Upload the files from your other matter (you will need to have these files saved locally or in your document management system)

  4. Click "Upload & Continue" to start processing

  5. Mary will generate new chronology entries for the added documents and consolidate them with the existing entries

Credit cost: Extending a matter costs approximately 1 credit per page for the new documents. If you are adding 300 pages, expect to use approximately 300 credits.

Limitations of This Approach

  • Some duplicate entries may appear, though consolidation has significantly improved and duplicates should be minimal. You may occasionally need to manually delete duplicates.

  • The key document and Detailed vs Concise setting cannot be changed after matter creation, so the new documents will be processed under the original matter's settings

Workaround 2: Use Views for Focused Sub-Chronologies

If your goal is to see a focused subset of entries — for example, only medical events, or only liability-related facts — you may not need to merge at all. Views let you create filtered perspectives within a single matter.

  1. Open your matter and navigate to the chronology

  2. Apply the filters you need (date range, relevance level, themes, or document source)

  3. Save the filtered view with a descriptive name (e.g., "Medical Records Only" or "Pre-Incident Events")

Views do not cost any credits and do not alter your underlying chronology.

Best Practice: One Matter Per Case

Going forward, we recommend keeping all documents for a single case in one matter from the start. Upload in batches if needed (up to 10,000 pages per upload session), and use Views to organise different aspects of the case within that matter. This avoids the need to merge later.

For example, a workers compensation claim might have medical records, employer correspondence, and expert reports. Upload all of these into a single matter, then create Views for "Medical Timeline," "Employer Communications," and "Expert Opinions."

Known limitation: There is no way to transfer individual documents or chronology entries between matters. The only option is to re-upload the source files.
