Use document naming conventions
Last updated: September 24, 2026
Document naming conventions help Mary classify and name documents in the document index. Firms can ask the Mary team to enable conventions during onboarding. If your firm does not use this feature, the Conventions step will not appear during matter setup.
Choose a convention for a new matter
Follow Get started with Mary through Matter Details and Sources.
If Conventions appears, choose the Naming convention your firm wants to use for this matter.
Review Document types in this set. If you are unsure which set is appropriate, check with your firm's Mary administrator.
Select Continue to reach Summary and complete the remaining setup steps.
Standard document index uses Mary's standard document types without a custom convention. Your firm’s available sets determine the other choices.

Choose an existing convention for this matter, then review the types in its set. Firms without conventions enabled skip this step.
If your firm wants conventions enabled, ask the Mary team during onboarding. If an expected set is missing, check with your administrator or Mary support.
Check the organised index
Once the documents have processed, open Document index and check the generated names and classifications against the original documents. Follow find and review source documents to use the source references and page ranges.
An index entry describes a document within an uploaded source. Its generated name and classification are separate from the original filename and folder path. Keep the original source identifiable when reviewing the organisation.
Prepare your firm's requirements
To discuss a new convention with Mary, bring a few approved examples and describe:
The document types your team needs to recognise.
The information each name should contain, such as its date, sender and subject.
Which date to use when the document date and event date differ.
How missing dates, unclear types or overlapping categories should be handled.
For example: “Name correspondence using its sent date, sender, recipient and a short subject. Flag a missing date for review.” Share this requirement with Mary when discussing the convention.
For changes to the underlying rules or their effect on existing matters, discuss the required outcome with your Mary contact before proceeding. Check any organised export before sharing it; see find and export your work.
